Customer Service Intern

Job Description
The Customer Service Intern is responsible for assisting with processing incoming customer correspondence, both electronic and written, and responding to the public, the Board members, and other internal inquiries regarding a variety of customer service and related operating issues. Conducts self in an appropriate manner, working effectively in a diverse work environment. Assists with retrieving customer e-mails off the CIS mail system daily and processes incoming written customer correspondence. Sorts complaints from information requests and logs complaints into system. Routes other contacts to the appropriate department for response, when necessary. Researches customer service issues via AVL system, dispatch reports, etc. Routes contacts to the appropriate department for response when necessary. Coordinates with all divisions to gather information regarding responses. Documents contacts accurately in the system in a literate and grammatically correct manner. Convert correspondence to PDF format and file. Manages deadline-driven workload; includes written responses within the appropriate time frame. Composes responses for contacts for other divisions as requested. Responds to customer contacts with this current information. Assists with determining appropriate compensation, in response to customer complaints. Tracks usage of these coupons. Attends internal meetings. May assist in providing backup for Customer Information Correspondent. The application deadline is 8/13/2010.

Job Requirements
Experience in a customer service position dealing with complaints and concerns; includes preparing written responses to complaints. General secretarial skills with ability to type with speed and accuracy; includes data entry. Ability to communicate effectively orally and in writing using correct English grammar and composition, spelling and punctuation; includes correct business correspondence. Effective listening skills; includes telephone etiquette. Ability to maintain effectiveness in stress and pressure situations. Ability to maintain confidentiality. Strong interpersonal skills; includes ability to interact with all levels of personnel with a strong customer service orientation. Ability to solve problems using sound judgment to make logical decisions. Ability to set reasonable priorities with good follow-through. Ability to work independently with minimal supervision. Ability to manage time-sensitive workload effectively; includes planning and organizing. Ability to handle multiple tasks. Demonstrated customer service orientation. Computer proficiency including PC, word processing and e-mail applications. Demonstrated ability in work effectively in a diverse workforce. OR An equivalent combination of experience, knowledge, skills, abilities, and other characteristics consistent with required qualifications as determined in the job analysis.
